Title: Bilingual Administrative Assistant
Location: Olathe, KS
Salary Range: $50,000-$60,000

Administrative Tasks

• Sort and distribute incoming mails
• Respond to all vendor inquiries
• Maintain files and documentations in accordance with company policy and accepted accounting practices
• Logistics for finished products’ shipments – Prepare documents (BoL), labels for shipment and arranging trucker. Keep all the updates including delay, reschedule, and cancelation with both a carrier and a customer.
• Purchasing process from creating purchase orders to receiving product.
• Assist with other projects as needed
• Support for life setup of Japanese expatriates

HR related

• Support supervisor on new employee hiring process
• Support supervisor on benefit new Enrollment process
• Support supervisor on Handbook update – keep up with KS-based labor law update and provide employees information or handbook amendment
• Support plant manager/supervisor in termination Process
• Administrate/manage and process attendance, leaves according to federal, state laws and company policy. Record keeping for possible audits. – close attendance for payroll.
• Record keeping – create spreadsheet and input all employee data and training record. Maintain all records according to regulation.
• Correct and file required employee documents according to federal, state laws

Accounting related

• Prioritize invoices according to cash discount potential and payment terms
• Manage and process accounts payable. – sending out checks, all credit card perchance, ACH, Wire.
• Manage account receivable - Issue invoices, and monthly statement, reconciliation of invoices
• Journal entry - Manage monthly expense keep payment record with invoices
• Reconcile vendor statements, research and correct discrepancies
• Review all invoices & expense reports for appropriate documentation and approval prior to payment

Skills and abilities:

• Business level Japanese and English-speaking skill are required.
• Business level English writing skill is required.
• Japanese reading and writing skill are preferable.
• Must possess basic computer software skills including Word, Excel and Outlook.
• Must demonstrate the ability to learn specific computer software and systems.
• Must be able to prioritize and manage multiple assignments.
• Must be able to clearly communicate and be understood both verbally and in written form by internal or external customers.
• Must possess ability to type general correspondence; perform filing and data entry duties.
• Must demonstrate an ability to work in a team environment and maintain effective working relationships with all levels of staff and management.
