Summary:
This role oversees office operations, accounting, HR administration, payroll governance, and vendor/contract management. It requires strong judgment, bilingual communication skills (English/Japanese), and the ability to manage policies, financial controls, and cross‑functional coordination.
Key Responsibilities:
General Business Operations
ーDevelop, interpret, and implement office, HR, and administrative policies.
ーResolve operational issues and recommend improvements across departments.
ーMaintain internal controls, compliance calendars, and regulatory adherence.
Accounting & Financial Management:
ーLead monthly and quarterly closing, including journal entry review, reconciliations, and financial reporting.
ーMaintain accounting policies, chart of accounts, and documentation standards.
ーAnalyze budgets, cash flow, and variances; prepare reports for management.
ーOversee AP/AR, payment approvals, and banking relationships.
ーCoordinate external audits and tax filings with advisors.
Sales & Customer Support (Light Duties)
ーProcess sales orders, shipments, and inventory updates.
ーCommunicate order status and resolve routine customer inquiries.
ーReview receivables and escalate payment issues when needed.
Payroll & HR Administration
ーApprove payroll, audit exceptions, and ensure wage‑and‑hour compliance.
ーMaintain employee handbook and HR policies; advise management on updates.
ーSupport recruiting, interview coordination, onboarding, and offer preparation.
ーManage benefits administration and employee documentation.
Vendor, Contract & Insurance Management
ーNegotiate and manage vendor, service, and lease agreements.
ーLead annual insurance renewals and evaluate coverage needs.
ーCoordinate with legal counsel on contracts and risk mitigation.
IT & Data Governance
ーOversee IT system requirements, cybersecurity controls, and system changes.
Cross‑Border Coordination
ーCommunicate with Japan headquarters; translate policies and reports.
ーSupport joint projects and compliance requests.
Authority
ーApprove expenditures, contracts, and payroll actions within delegated limits.
ーRepresent the company to auditors, legal counsel, brokers, and agencies.
Qualifications:
ーBachelor’s degree in Accounting, Finance, Business, or related field required
ー At Least 5+ years of progressive accounting/administrative experience.
ーStrong QuickBooks and Excel skills; experience with payroll systems (e.g., ADP).
ーAbility to exercise independent judgment and handle confidential matters.
ーBusiness‑level bilingual proficiency in English and Japanese. (Must be able to read, write, and speak at a business level.)
Work Conditions:
ーOffice‑based role with occasional lifting (up to 25 lbs).
ーLimited domestic travel; occasional evening coordination with Japan.
