Summary:
This role oversees daily office operations while managing core accounting, HR, payroll, and IT coordination functions. It requires strong organizational skills, accuracy, and bilingual communication in English and Japanese.

Key Responsibilities:
Office & General Administration
-Maintain a clean, safe, and organized office environment.
-Manage supplies, vendors, leases, repairs, and safety compliance.
-Support insurance plan management and basic legal document preparation.

Finance & Accounting:
-Handle daily bookkeeping, AP/AR, bank reconciliations, and cash flow.
-Maintain financial records and assist with monthly, quarterly, and annual closing.
-Prepare budgets, financial reports, and data for management and HQ.
-Coordinate tax filing documents and support audits.

Payroll & HR Administration:
-Process payroll accurately and on time; maintain payroll records.
-Ensure compliance with federal, state, and local payroll regulations.
-Support recruitment, onboarding, employee records, and HR policy updates.
-Assist with benefits administration and employee inquiries.

IT & Equipment Management:
-Coordinate with IT service providers on system setup, maintenance, and cybersecurity.
-Support website maintenance and updates.
-Manage office equipment purchasing, maintenance, and inventory.

Required Competencies:
-Strong organizational, communication, and problem‑solving skills.
-High attention to detail and ability to manage multiple priorities.
-Accounting, Administrative knowledge, and adaptability in a growing environment.
-Technical proficiency with MS Office, QuickBooks, ADP, and general IT tools.
-Cultural sensitivity and ability to collaborate with Japan HQ.

Qualifications:
-Associate’s or bachelor’s degree in Accounting, Finance, Business, or related field preferred.
-at least 3 years of progressive back‑office experience.
-QuickBooks proficiency required.
-Bilingual English/Japanese communication skills. (Must be able to read, write, and speak at a business level.)
