Summary:
Under supervision of the Controller, performs a variety of administrative and financial duties for U.S. Office (hereafter Company).
The Admin/Accounting Coordinator supports daily office operations and accounting functions, including AP/AR processing, invoicing, travel arrangements, document control, and event coordination. This role requires strong organizational skills, attention to detail, and the ability to communicate effectively in a multicultural environment. Candidates with accounting experience and a friendly, team-oriented personality will excel in this position.
Responsibilities:
The following is a list of representative duties. Other duties may be assigned that may reasonably follow and relate to essential tasks. This job description may be modified from time to time as the needs of Company and the position change.
● Coordinates the general office operations
● Answers incoming general calls
● Makes travel arrangements for employees and for guests, including making reservations of hotels, rental cars, flights, etc.
●Consent management corporate apartment leases.
● Responsible for the accounting system of accounts payable, job cost, general ledger, and cash management
●Process vendor/supplier/sub-contractor invoices and obtain approval from each project manager for payment.
●Responsible for collecting signed Lien Waivers from sub-contractors before releasing payments
● Issues and files Notice of Commencement with county recorder’s office when applicable
● Working with word processing software, completes correspondence such as emails, letters, reports, including confidential matters
●Working with spreadsheet software, completes such duties as monthly reporting
●Working with financial records, performs such duties as accounts payable, processing/cutting checks, and filing
●Other responsibilities include sending, collecting and filing of W-9 and 1099 forms file maintenance of office procedure manual, accounting binders, mileage logs, vehicles maintenance, file retention, etc.
●Other duties as required, i.e., buy and store office/kitchen supplies, notify insurance broker agent with any changes pertaining to corporate housing such as rental lease agreement, company vehicles such as maintenance, and driver information.
●Accounting Support
-Process Accounts Payable (AP) and Accounts Receivable (AR) transactions
-Handle Sage or similar accounting software for invoicing and payment processing
-Reconcile accounts, verify billing accuracy, and maintain financial records
-Support month-end and year-end closing activities
-Assist with expense reports and vendor management
Qualifications:
●Required
-At least an associate degree or higher is required.
-Minimum 2 years of accounting and administrative support experience (AP/AR required)
-Experience with Sage or similar accounting/invoicing systems, and proficiency in Microsoft Office (especially Excel).
-Hold a valid US driver’s license
-Ability to develop a working understanding of current office record keeping and filing systems
-Ability to maintain and hold in confidence information relating to financial and other functions of the office
-Ability to work independently, organize and prioritize work, respond to varied/changing work demands and make decisions as required
-Good interpersonal skills and ability to maintain and foster cooperative and courteous working relations with the public, peers and supervisors
-Working knowledge of company methods and procedures
-Willingness to maintain skills in above-mentioned areas through active participation in appropriate continuing education activities
