Position Summary

The position is responsible for overseeing departmental operations, strategic planning, quality management, and compliance across multiple branches. This role focuses on increasing profitability, improving operational efficiency, ensuring service excellence, and leading organizational development initiatives.


Requiring assistance for-

• Oversees the overall operations through management planning with a set objective and goal to maximize the productivity of the department.
• Manage marketing and business development for new customers.
• Plan and develop systems and procedures to improve the operating quality and efficiency of the department.
• Managing entire international logistics including the negotiation with the customers and vendors in overseas.
• Increase trans-pacific business between U.S. and Asia (Japan).
• Manage multiple project management.
• Resolve any claim or problem both internal and external.
• Support entire GA Dept.
• Secretary work for the President

PRIMARY RESPONSIBILITIES

・Increase Profit and Revenue; manage the operational and fiscal activities of the department to include: staffing levels, budgets and financial goals.
・Sustain an excellent Quality of Service; Plan and develop systems and procedures to improve the operating quality and efficiency of the department.
・Develop the best organizational structure that will ensure an excellent customer service as well as employee satisfaction;
・Analyze and document business process and problems.
・Plan, negotiate and following real estate matters of all branches for the optimizing operations, maximizing profit and improving working environment.
・Develop solutions to enhance efficiencies, Coordinate and implement solutions from process analysis and general department projects.
・Responsible to meet department productivity and quality goals.
・Supervise the Performance of Subordinates and Subcontractors; Direct staff in the development, analysis, and preparation of reports, Supervise staff in accordance with company policies and procedures, Conduct interviews, hire new staff, and provide employee orientation, Coach and provide career development advice to staff, Establish employee goals and conduct employee performance reviews, Responsible for staff scheduling to include: work assignments, employee training, employee vacations, and back-up for absent employees, Assist staff to resolve complex or out of policy operation problems.
・Communicate with Supervisors, Managers and Headquarters on Department operations. Schedule and conduct department meetings.

Planning

・Create the monthly agenda, initiate and conduct monthly planning meetings at New York headquarters keeping notes/records, with the company President and planning committee.
・Design strategic plans in all departments for continuous improvement, devise short- and long-term objectives for expansion and growth, identify problems within the company and develop solutions.
・Move the ideas from concept and research to strategy, present solutions to the planning committee for discussion and further development, gain approval from the company President and finally implement the new strategy,
・Assess and develop marketing strategy with all media especially with IT.
・Promote corporate support and close coordination and cooperation from all branches including branch managers, department managers and line employees,
・Research and develop strategic planning of increasing profit (by boosting revenue and reducing cost) for the whole company in charge of RFI and new Project.
・Negotiate contracts and rates of all suppliers of the company to minimize costs.
・Investigate claims managing risk, develop systems of prevention and train staffs,
・Track record of increasing productivity while reducing costs,

Quality Control

・ISO 9001/AS9120 – Registration & Audit
・Maintain liaison with outside consultant for guidance and internal audits.
・Follow up with Registrar for registration and surveillance audits.
・Establish annual ISO budget and oversight all costs.
・Work by departments; create quality procedures, workflows and forms.
・Guide staffs to create company / department goals and objectives, set up KPI have and follow up charted progress.
・Train key staff in the initial set up and maintenance of the quality program.
・Conduct preliminary audits annually at all branches.
・Participate in all internal, registration, surveillance and re-assessment audits.
・Follow up with ISO designated staff with predetermined schedule and check list
・Prevent and solve problems while minimizing cost and work burden of ISO

Internal Control

Documentation Control:
Sensitive Documents, Legal Documents, Policy & company forms; Dissemination, Retention and Destroy according to requirements and regulation.


Ocean Dept

・Oversee all company's. Branches overall ocean operations and shipping trends.
・Negotiate with carriers/consolidators and quote individual rates for all the company's branches and the company's overseas agents as requested and keep them informed of any FMC rules and regulations.
・Negotiate service contracts with carriers/consolidators and advise USA/overseas branches and keep S/C on file.
・Sign amendments on an ongoing basis when new rates are negotiated and filed with FMC.
・Formulate monthly report on all U.S. Branches Ocean activities to follow up on shipments trends.
・Trouble shoot and assist all company’s branches on ocean problem solvings.
